A tenant KYC form records who is renting your home: their name, contact details, permanent address, ID numbers, workplace, emergency contact and everyone who will live there. This generator prints one on A4 for a flat or a PG, with a checklist of documents required from the tenant and a box for the police verification details.
Make your tenant KYC form
Add your name, the property and the rent if you want them printed, choose the sections, and print. The tenant fills in the rest by hand and signs it. Leave any field empty to get a blank line instead.
This form needs JavaScript. To make one by hand, list these headings on an A4 sheet with lines to fill in: the tenant's full name, father's or spouse's name, date of birth, mobile, email, permanent address and previous address; photo ID type and number; occupation, employer and office address; emergency contact; other occupants with age and relation; vehicles; a previous landlord's name and number; and a signed declaration.
What a tenant information form should include
| Section | What to ask for |
|---|---|
| Tenant's details | Full name, father's or spouse's name, date of birth, mobile, email, permanent address and the previous rented address |
| Identity | Type and number of one or two photo IDs; passport and visa details for foreign nationals |
| Work or study | Occupation, employer or college, office address and employee or student ID |
| Emergency contact | Name, relation and mobile of someone who is not living in the home |
| Occupants | Name, age and relation of everyone else who will live there, with ID for each adult |
| Vehicles | Registration numbers, which most societies ask for parking stickers |
| Reference | A previous landlord's name and number |
| Declaration | The tenant confirms the details are true and agrees that you may share them with the police for verification |
For a PG or hostel, choose "PG or hostel resident". The form then asks for the room and bed number and a parent's or guardian's contact, which most PGs need for students.
Documents required from a tenant
- Photo ID: Aadhaar, passport, voter ID or driving licence.
- Proof of permanent address, if the photo ID does not show it.
- Two passport-size photos, one for the form and one for the police verification form.
- Proof of work or study: employee ID, an offer or appointment letter, or a college ID.
- Photo ID of every adult who will live in the home.
- Optional: a recent salary slip or bank statement, a PAN copy and a previous landlord's number.
Ask for a masked Aadhaar
A masked Aadhaar shows only the last four digits of the number. Tenants can download it from UIDAI's myAadhaar portal. It is safer for both of you if a photocopy goes missing.
Ask for self-attested photocopies and write the purpose and date across each one, such as "For tenancy at Flat 304 only, 1 November 2026", so a copy can't be reused somewhere else. Keep them locked away, and return or shred them when the tenant leaves.
Tenant KYC and police verification
The KYC form and police verification ask for much the same details, so collect them together on the day the agreement is signed. Most states let you register a tenant online on the state or city police portal; some still need a paper form at the police station. Our tenant police verification guide has the portal, documents and steps for each state we cover.
Write the police station, the date you submitted and the acknowledgement number in the box on the checklist page, and keep the acknowledgement with the form.
Where the KYC form fits in letting a home
Screen the tenant first
Collect documents only from the tenant you have chosen. Before that, use the tenant screening checklist to decide.
Fill in the KYC form and check the originals
Compare each photocopy with the original and tick it off on the checklist page.
Sign the agreement
Use the same names and addresses as on the form in the rent agreement.
Register the tenant with the police
Submit the details through your state's route and note the acknowledgement number.

What documents are required from a tenant in India?
A photo ID such as Aadhaar, passport, voter ID or driving licence, proof of permanent address, two passport-size photos, proof of work or study, and a photo ID for every adult who will live there.
Is a tenant KYC form compulsory?
The form itself is a record for you. What many states do require is tenant police verification, and the form collects the same details. See tenant police verification for your state.
Should I keep a copy of my tenant's Aadhaar?
Ask for a masked Aadhaar, which shows only the last four digits, and write the purpose and date across the copy. Keep it locked away and return or shred it when the tenant leaves.
Can I use the same form for PG residents?
Yes. Choose "PG or hostel resident" and the form asks for the room and bed number and a parent's or guardian's contact instead of a flat number.
Does Domvio store tenant KYC documents?
Yes. Domvio keeps each tenant's KYC documents and lease in one place with their rent record. It does not do police verification or background checks.
