How to write to a tenant in Malayalam

Malayalam messages to a tenant are usually polite and direct. Start with നമസ്കാരം or പ്രിയ ("dear") and the name. Spoken Malayalam often uses ചേട്ടാ or ചേച്ചി (elder brother, elder sister) with people you know, but in a rent message the name alone is safer and works for any age. The templates below avoid the casual നീ form completely.

A lot of houses and flats in Kerala belong to owners working in the Gulf, and a brother, parent or caretaker collects the rent. If that is you, say in the first line that you are writing for the owner, and give the owner's own UPI ID, so the tenant knows the account is genuine.

Polite Malayalam reminder before rent is due

Send it two or three days before the due date. Keep the UPI ID in English letters, and if the KSEB bill or water charge is collected with the rent, add it on a separate line.

Firm Malayalam reminder, a week after the due date

By now the tenant has had two reminders. This one lists those dates, refers to the agreement, and asks for a written answer. It is firm in content but still polite in tone.

പ്രിയ [പേര്],

[മാസം] മാസത്തെ വാടക ₹[തുക] ഇതുവരെ ലഭിച്ചിട്ടില്ല. ഇപ്പോൾ [എണ്ണം] ദിവസം വൈകി. [തീയതി], [തീയതി] എന്നീ ദിവസങ്ങളിലും ഓർമ്മിപ്പിച്ചിരുന്നു.

Final Malayalam reminder

Send this only when rent is a month or more overdue. It gives a last date, says you will take legal advice, and asks for a call. Do not threaten to disconnect the KSEB supply or water, or to remove the tenant's things. The tenant not paying rent guide explains what to do instead.

Malayalam thank-you for the rent

Thank the tenant the day the rent lands. If they work at Infopark, Technopark or any company that asks for rent receipts, send one from the Malayalam rent receipt format page.

Points to remember

• Many people in Kerala type Malayalam in English letters (Manglish). Replying in Manglish is fine, but send the amount, date and UPI ID exactly as written in the template.
• If you collect rent for a relative abroad, never ask the tenant to pay into your own account unless the owner has told the tenant first.
• Keep the chat, even after the rent is paid. A dated record helps if there is ever a dispute about which months were paid.
