Rent reminder message to tenant: polite, firm and final templates

A good rent reminder message names the month, exact amount, due date and how to pay, in a few lines. Send the first three days before rent is due, a second on the due date, and firmer follow-ups only after that. Below are free templates for each stage, in English, Hindi and Kannada, to copy into WhatsApp or SMS.
When should you send a rent reminder?
Most late rent is forgotten rent, not refused rent. A reminder that arrives before the due date fixes most of it. Keep the tone friendly at first and get firmer only as the days pass. This schedule works for flats and PGs alike.

Send reminders between 9 am and 8 pm. A message at midnight reads as pressure, not as a reminder. If you have several tenants, send each one a separate message rather than posting in a group, so nobody is embarrassed in front of neighbours or roommates.
What should a rent reminder message include?
- The tenant's name, so it does not look like a forward.
- The month the rent is for, such as "October 2026".
- The exact amount. If maintenance or electricity is separate, list each one.
- The due date as a date ("5 October"), not "soon" or "this week".
- How to pay: your UPI ID or bank details, written out in full.
- A request to share the payment screenshot or UTR number, so you can match the payment.
- Your name at the end, especially if the tenant has saved your number under the building name.
Polite rent reminder before the due date
Send this three days before rent is due. Replace everything in square brackets. The short version suits tenants who have paid on time for months; the SMS version fits in one 160-character message.

Rent reminder when the tenant is 3 days late
Stay polite. Ask for a date rather than demanding money today. People who are short of cash often go quiet out of embarrassment; an open question gets a reply more often than a demand does.

After the tenant promised a date

Firm reminder when rent is 7 or more days late
Now the message should be clear and businesslike. Refer to the rent agreement and to your earlier reminders by date. That builds a written record if things go wrong later. Offer a payment plan if the tenant has a genuine problem; a plan in writing is better than silence.
7 days late (firm)
Dear [Tenant name], The rent of ₹[amount] for [month] is now [number] days overdue. I reminded you on [date] and [date]. As per our rent agreement, rent is due on the [day] of every month. 15 days late, offering a payment plan
Dear [Tenant name], The rent of ₹[amount] for [month] has been pending since [due date], and I have not had a reply to my messages of [dates]. If you are facing a difficulty, I am open to a short payment plan, for example ₹[part amount] by [date] and the balance by [date]. Please reply by [date] so we can agree on it in writing. If I do not hear from you, I will have to treat this as a breach of our rent agreement. Regards, [Your name]
Final reminder before a legal notice
Firm, never threatening
Do not threaten to cut electricity or water, change the locks, remove belongings or call the tenant's employer or family. Doing these things can make you liable, even when the tenant owes you money. Say only what you will actually do through proper channels. A WhatsApp message is also not a legal notice; that is a separate document, best sent by a lawyer. Final reminder (firm but lawful)

Payment received: thank-you messages
Always confirm a payment in writing, the same day. It closes the loop for the tenant, and it gives both of you a record. For a proper receipt with all the details, use the rent receipt format.

Hi [Tenant name], Received ₹[amount] for [month] rent on [date]. Thank you for paying on time! I will send the receipt shortly. [Your name]
Part payment received, balance due
Hi [Tenant name], I have received ₹[amount paid] on [date] towards the [month] rent of ₹[total rent]. The balance of ₹[balance] is due by [date], as we agreed. Thank you, [Your name]
Rent increase notice message
A rent increase should follow your rent agreement and your state's rent law, with the notice period the agreement sets. Send the message well before the new rent starts, and keep it factual. Work out the new figure with the rent increase calculator, and check the escalation clause in your rent agreement.

Rent reminder messages for PG occupants
In a PG, mention the room and bed so nobody confuses one occupant's dues with another's. For a building-wide reminder, use a WhatsApp broadcast list, not a group: each person receives it privately and nobody sees who has not paid. More on running beds and rooms in PG management software.

Rent reminder sent by a caretaker or family member
If you live abroad or a relative handles your property, make it clear who is writing and whose account the rent goes to. Tenants are rightly wary of being asked to pay a new account. NRI owners can read more on NRI property management.

How to keep reminders polite but effective
- Use one channel. If rent reminders always come on WhatsApp from the same number, tenants learn to expect them and act on them.
- Thank tenants who pay on time. It costs nothing and makes the next reminder easier to send.
- Keep every reminder and reply. Do not delete chats. If a dispute ever reaches a lawyer, dated written reminders show what you asked for and when.
- Ask a question when rent is late ("when can you pay?") instead of making a statement. Questions get replies.
- Put any promise or payment plan in writing, even a one-line WhatsApp message.
- Never mention the tenant's late rent to other tenants, neighbours or their employer.
- Track who has paid in one place, such as a rent tracker template, so you never remind someone who already paid.
