Best PG management apps for PG and hostel owners in India
By Giridhar Reddy, founder of Domvio, Bengaluru
Updated
The best PG management app depends on how occupants pay and your budget. Domvio runs on WhatsApp and UPI and is free during early access. EasyAavaas, ManagR, PGTracker (one PG, up to 30 beds) and RunMyPG (in beta) are also free. Zapstel and TrackMyPG are paid. RentOk and Crib suit larger operators wanting KYC, food or attendance tools.
How we compared PG management apps
We make Domvio
Domvio is our product, so weigh what we say about it accordingly. For every other app we used only its own website or app store listing, linked in each section. We did not buy paid plans. If a detail is not published, we say so. Checked on 9 October 2026; EasyAavaas, ManagR, PGTracker and RunMyPG were added on 20 October 2026.
A PG is not a flat. Rent comes from many beds, part in cash and part by UPI, and occupants change often. So we asked these questions of every app:
- Rent per bed: can each bed in a double or triple sharing room have its own occupant, rent and dues?
- Do occupants need an app? Young occupants may install one; many will not bother.
- How do occupants pay, and where does the money go? Straight to your UPI ID, or through a payment gateway that may charge fees?
- Receipts: for every payment, including cash?
- Reminders: sent automatically, and on WhatsApp?
- Extras PGs ask for: KYC, food menus, attendance, deposits, electricity.
- Price: published, and per bed or per property?

Domvio: PG rent on WhatsApp, straight to your UPI ID
Best for: PG and hostel owners with a few to a few dozen beds who want every occupant reminded on WhatsApp, rent straight to their UPI ID and a receipt for every payment, without asking occupants to install anything.
What it does: Set up rooms as single, double or triple sharing, and each bed gets its own occupant, rent, reminders and receipts. Three days before the due date, each occupant gets a WhatsApp reminder with the exact amount and a UPI link. They pay to your UPI ID and share the confirmation, you approve with one tap, and both of you get a PDF receipt on WhatsApp. Cash is logged with one tap or a message like "paid Priya". Occupants can raise maintenance requests with photos, and KYC documents are kept in one place.

- Good: Occupants never install an app or create an account.
- Good: No commission and no payment gateway. Domvio never holds your money.
- Good: Cash and UPI both get a PDF receipt.
- Good: Check the whole PG from WhatsApp: "status", "overdue", "remind all".
- Watch out for: It is new and in early access, with fewer PG features than older tools.
- Watch out for: No electricity bill splitting, notice-period tracking, deposit settlement, food menus or attendance.
- Watch out for: UPI and cash only. No card or net-banking payments.
- Watch out for: You approve each UPI payment. There is no automatic bank reconciliation.
- Watch out for: Paid plans (Local Pro and others) are coming soon, with no prices announced yet.
Pricing (as listed on 9 October 2026): Free during early access. No credit card needed.
RentOk: the most complete toolkit for large PGs
Best for: PG, hostel and co-living businesses with many beds and staff, who want rent, occupancy, KYC and food menus in one system.
What it does: RentOk's home page lists automatic reminders on WhatsApp, SMS and app notifications, bulk WhatsApp reminders with a payment link, a live view of filled, vacant and under-notice beds with one-click allot or block, digital KYC, a food menu generator and a white-label app. RentOk's own guide says tenants pay through the link by 20+ modes, including UPI apps, cards and net banking, and that rent is deposited into the owner's bank account.
- Good: Bed occupancy, notice status and KYC in one place.
- Good: Occupants can pay by card or net banking.
- Good: Food menu tools, which most rent apps lack.
- Watch out for: No published price. You book a demo for a quote.
- Watch out for: Its tenant page mentions processing charges on card and net-banking payments, without stating the amount.
- Watch out for: Receipts are downloaded from RentOk's tenant app.
Pricing (as listed on 9 October 2026): Not published. RentOk's pricing explainer says it depends on things like the number of properties or beds and team size.

Best for: PG and hostel owners who want a per-bed price they can see up front.
What it does: The Zapstel website describes room and bed allocation, occupancy tracking, rent billing through integrated payment gateways, automated payment reminders and receipts, ID-verified onboarding and maintenance tickets. Android and iOS apps are linked from the site.

It also tracks security deposits, expenses and short-stay guests.
- Good: Published prices and a 7-day trial for ₹1.
- Good: Security deposit and expense tracking.
- Good: Short-stay guest bookings alongside monthly occupants.

It sends scheduled rent reminders on WhatsApp, and a free WhatsApp assistant lets the owner check dues, send reminders and record payments by chat in Hindi, English or Hinglish. Tenants pay the owner directly by UPI, cash or bank transfer. The owner records the payment or reviews the proof the tenant sends, and EasyAavaas never holds the money.
- Good: Free for owners, staff and tenants, with no per-bed or per-property fee.
- Good: Rent goes straight to you; the app only keeps the records.
- Good: Staff accounts with permissions per property.
- Watch out for: Payments are recorded by you or checked from the tenant's proof; automatic matching is not described.

What it does: Occupants pay by UPI to your number or in cash. You keep a register or an Excel sheet with a row per bed and tick off payments each month.

- Good: Nothing to learn or install.
- Watch out for: You chase every bed yourself.
- Watch out for: Cash without a receipt is easy to dispute when someone moves out.
- Watch out for: Hard to see quickly which beds are overdue.
Pricing (as listed on 9 October 2026): Free. Our rent tracker template gives you a ready sheet, and the rent receipt format page has a receipt you can copy.
Is there a free PG management app?
Yes, several. Domvio is free during early access, with no setup fee and no commission on rent. EasyAavaas and ManagR say they are free forever, PGTracker is free for one PG of up to 30 beds, and RunMyPG is free while in beta. TrackMyPG offers a 7-day trial for ₹1, Zapstel offers a free demo, and RentOk and Crib do not publish prices.
How the free ones differ: EasyAavaas and ManagR are full PG systems with staff, KYC, complaints and visitors, and ManagR also sells tenant leads. PGTracker is a daily to-do list, and RunMyPG is a bed map with bills and deposits. Domvio stays narrow on purpose: reminders, UPI to your own ID, cash logging and a PDF receipt for every payment, all on WhatsApp, so occupants never install anything. See what it covers on our PG management software page.
Not free, but close: My PG Manager charges a flat ₹159 a month for every module, including electricity splitting, food menus and staff attendance. We compare it with free options in My PG Manager alternatives.
Running a private hostel rather than a PG? The same apps apply. Read our guide to hostel management software.
What PG apps will not sort out for you
Most PG arguments are about money that is not rent. Check which of these a tool covers before you pay, and plan to handle the rest yourself:
- Electricity bills shared between occupants. Our PG electricity bill calculator splits a bill fairly.
- Notice periods and move-outs. See our guide to the PG notice period.
- The PG agreement each occupant signs. See our PG rental agreement guide.
- Rent collection itself, if you also own flats: see our best rent collection apps in India roundup.
We also looked at FretBox, but it is built for college and university hostels, with attendance, leave requests and mess feedback, so we left it out of this list.
