Rent receipt format for HRA, with a free PDF generator

By Giridhar Reddy, founder of Domvio, Bengaluru

A valid rent receipt shows the tenant's and landlord's names, the property address, the rent in figures and words, the period it covers, the payment date and mode, and the landlord's signature. For HRA, add the landlord's PAN if annual rent is above ₹1,00,000, and a ₹1 revenue stamp on cash receipts above ₹5,000.

Free rent receipt generator

Fill in the form once and get one receipt for every month in the period, up to 24 months. The amount is written in figures and in words, the PAN reminder appears when annual rent crosses ₹1,00,000, and a revenue stamp box appears only on cash receipts above ₹5,000.

The receipt generator needs JavaScript. Turn it on, or copy the plain-text rent receipt format further down this page and fill it in by hand.

Press Print / Save as PDF. In the print window, choose Save as PDF as the printer to get a PDF file, or pick your printer for paper copies. Each receipt prints on its own A4 page. The landlord then signs each one, or signs and scans the PDF.

What must a rent receipt contain?

There is no single official government format for a rent receipt. Employers and tax officers look for the same basic details, so a receipt with all of these is safe to use:

  • Tenant's name, as it appears on their salary records.
  • Landlord's name and, when annual rent is above ₹1,00,000, the landlord's PAN.
  • Address of the rented property, the same address the tenant gives their employer.
  • Rent amount in figures and in words, for example ₹18,000 (Rupees Eighteen Thousand Only).
  • Rent period, for example 1 April 2026 to 30 April 2026.
  • Date of payment and payment mode: UPI, bank transfer, cash or cheque (with the cheque number).
  • Receipt number, so each receipt can be matched to a payment.
  • Landlord's signature, and a ₹1 revenue stamp signed across when rent above ₹5,000 is paid in cash.

Rent receipt rules for income tax and HRA (FY 2026-27)

Salaried tenants submit rent receipts to their employer to claim the House Rent Allowance (HRA) exemption. HRA can be claimed only if the tenant chooses the old tax regime, as ClearTax explains. To see how much of the HRA is tax-free, use our HRA exemption calculator. These are the receipt rules that matter:

Check the new Form 124 details with your employer

The Income-tax Act, 2025 and the Income-tax Rules, 2026 apply from 1 April 2026. Tax sites report that Form 124 also asks for the tenant's relationship with the landlord, which matters if you pay rent to a parent or relative. We could not read the final rule text ourselves, so confirm the exact details with your employer's payroll team or a chartered accountant. This page is general information, not tax advice.

Sources differ on whether the ₹5,000 revenue stamp limit applies to each receipt or to the monthly rent. If one cash receipt covers several months and the total is above ₹5,000, add the stamp to be safe. Paying by UPI or bank transfer avoids the question and leaves a record in your bank statement.

Rent receipt format in other Indian languages

The generator at the top of this page can also print receipts in Hindi and eight more Indian languages: pick one under Receipt language. Rent receipt PDF: how to make a year of receipts at once

Most employers ask for rent receipts as PDF files, uploaded to a payroll portal or attached to an email. The generator at the top of this page makes them for several months in one go, so you do not have to fill in twelve forms.

  1. Fill in the form once

Enter the tenant, landlord, address, monthly rent and payment mode. The rent period starts as April to March of the current financial year; change the months if you moved in mid-year.

  2. Check the preview

You get one receipt per month, up to 24 at a time, each with its own receipt number, period and date. The summary line shows the number of receipts and the total rent.

  3. Press Print / Save as PDF

Choose Save as PDF as the printer. All the receipts go into one PDF file, each on its own A4 page. On an Android phone, the print window has the same Save as PDF option.

  4. Sign every page

Print the PDF and have the landlord sign each page, then scan it back to PDF. Some employers also accept a PDF the landlord has signed digitally. Ask your payroll team which they want.

  • One PDF or twelve? Most payroll portals take one PDF with all the months. If yours wants a file per month, print a single month at a time by setting the same From and To month.
  • File name. Something like "Rent receipts Apr 2026 to Mar 2027 - Ravi Kumar.pdf" makes it easy for payroll to find.
  • Word or Google Docs. If you would rather edit the text yourself, copy the English or Hindi format above into a new document, make one page per month, and use File > Download > PDF.
  • Rent receipt book. Stationery shops sell printed receipt books. They work, but you have to fill in every field by hand and keep the counterfoils safe.

Rent slip format

A rent slip is the same thing as a rent receipt: a signed note from the landlord saying how much rent was received, from whom, for which month. Payroll teams and some PGs call it a slip. If you need it for HRA, it needs every detail listed above, whatever it is called.

A short slip suits a PG, hostel or room where rent is paid in cash every month and the occupant just needs proof of payment. Keep a carbon copy or a photo of each one.

Rent slip format (short)

RENT SLIP No.: ______

Received ₹__________ from __________
for rent of __________ (flat / room / bed)
for the month of __________ 20____.

Paid by: UPI / cash / bank transfer Date: __________
Balance still due: ₹__________

Received by (landlord / PG owner): __________ Signature: __________

For an HRA claim, use the full rent receipt format or the generator above instead. Those add the landlord's PAN when needed and the rent in words, which a short slip leaves out.

Why landlords should give a receipt for every payment

A receipt protects the landlord as much as the tenant. If a tenant later says they paid in cash, or stops paying, your signed receipts and payment records show exactly which months were paid. That record is what you need if a dispute ever reaches a lawyer, as our guide on a tenant not paying rent explains.

Give the receipt the day the money arrives, not at the end of the year. Keep a copy, and note each payment in a rent tracker spreadsheet so you can see who still owes you. If you have to remind tenants first, use one of these rent reminder messages.

Let receipts send themselves

Domvio sends an official PDF rent receipt to you and your tenant on WhatsApp for every payment you confirm, UPI or cash. It also reminds tenants three days before rent is due, with a UPI link that pays straight into your account. See how the rent collection app works, or read how to collect rent online.

Frequently asked questions

Is the landlord's PAN mandatory on rent receipts?

Only when the rent paid in the year is above ₹1,00,000. Below that, the PAN is optional. If the landlord has no PAN, the tenant gives the employer a written declaration from the landlord with the landlord's name and address.

Is a revenue stamp needed on a rent receipt if rent is paid by UPI?

No. The ₹1 revenue stamp is needed only on cash receipts above ₹5,000. Rent paid by UPI, bank transfer or cheque does not need one, whatever the amount.

Can I make one rent receipt for the whole year?

Many employers accept one receipt for a longer period if it states the period and the total clearly. Monthly receipts are safer because each one matches a payment in your bank statement, and the generator above makes all twelve at once.

Can I claim HRA for rent paid to my parents?

Yes, if you really pay them rent, they own the house and they show the rent as income in their tax return. Keep receipts and pay by UPI or bank transfer so there is a record. Tax sites report that Form 124 now asks for your relationship with the landlord, so check with your employer.

Is a UPI screenshot enough instead of a rent receipt?

Usually not on its own. Employers ask for a signed rent receipt with the landlord's details and the period covered. Keep the UPI confirmation or bank statement as extra proof.

How do I get rent receipts as a PDF for my employer?

Fill in the generator on this page once with the full rent period, press Print / Save as PDF and choose Save as PDF as the printer. You get one PDF with a receipt per month, each on its own page, ready for the landlord to sign.

Is a rent slip the same as a rent receipt?

Yes. Rent slip is another name for a rent receipt. For an HRA claim it needs the same details: names, address, amount, period, payment mode, signature, and the landlord's PAN when annual rent is above ₹1,00,000.

Is this rent receipt generator free and private?

Yes. It is free, needs no sign-up and runs entirely in your browser. Nothing you type is sent to Domvio or anyone else.
